How to set up a field trip chaperone sign-up

1. Choose New signup. If you see “What are you organizing?”, choose Skip, fill in by hand.
2. Type “Grade 3 field trips” in Title. Add what chaperones need to know in Description (optional), and choose Create signup.
3. Choose Fields, then choose What and rename it Trip. Choose Save.
4. Still in Fields, choose Add field. Name it Leaves at, choose Time, and choose Add field again to save it.
5. Open the empty slot. Type Pumpkin farm in Trip, set Date to Thursday, October 15, 2026 and Leaves at to 8:45 AM. Type 5 in Capacity and choose Done.
6. Choose Add a slot and fill in the science museum and the winter concert the same way.
7. Choose Publish. On a phone, choose the three dots at the top, then Publish signup. Next to Public link, choose the copy button and send the link to the class parents.

How many chaperones does a field trip need?

Your school's rules come first, and the place you visit may have its own. Venues set different numbers, and some charge for extra adults:

• The Chicago History Museum asks for one adult for every ten students in grades 3 to 12, and one for every five from pre-K to grade 2. Each adult over that costs $10. (Chicago History Museum, checked September 26, 2026)
• The California Academy of Sciences asks for at least one adult per eight students in K to 8, and no more than one per four. Adults over that pay full admission. (California Academy of Sciences, checked September 26, 2026)

Use whichever rule asks for more adults, and stay under the venue's maximum if it has one. Divide the number of students by the rule and round up. At one adult per ten, a class of 24 needs three adults. Ask the office whether teachers and aides count toward that. Then give each trip only as many spots as the parents you still need, since extra adults can cost the school money.

What should chaperones know before they sign up?

Put it in the description. Parents read it before they pick a trip, so give them what they need to decide and to turn up ready:

• Where to meet and when you'll be back. Each trip's leaving time is on its slot, and a return time lets working parents plan their day.
• How they travel: on the bus with the class, or in their own car. If they drive, say whether they may take other children. That's your school's call.
• Cost. If chaperones pay their own entry, say how much and how to pay the school. OpenSignup doesn't take payments.
• Whether younger brothers and sisters can come.
• What to bring, such as a packed lunch, shoes for a muddy field or a charged phone.
• One spot per adult. A parent can take several spots at once, and there's no per-person limit, so ask for it.
• Their child's name in the note, so you know whose parent is coming. The note is optional, so some parents will skip it.

Where do background checks and forms fit in?

They stay with the school. OpenSignup doesn't collect forms, take uploads or track who has been cleared. People who sign up give a name and email and can add a note. You can't add other questions or make any of them required.

• Name the form in the description, with where to get it and when it's due.
• Send the link as soon as the trip dates are set. Ask the office how long clearance takes, so parents who sign up have time to finish it.
• Before each trip, download the list of who signed up as a CSV file. Check it against the office's list of cleared volunteers.

What happens after a parent signs up?

• They get an email with the trip, date and leaving time, and a link to change or cancel.
• They get a reminder email the day before the trip. Someone who signs up less than a day ahead gets one about an hour after signing up, though a sign-up on the day itself may get none. Each reminder has a link to stop them.
• They also see an Add to calendar button. A signup has no time zone, so for a trip with a leaving time the calendar event can land hours off. Ask parents to go by the time in their email.

Some things it doesn't do:

• You can't add, move or remove a parent yourself. A parent who can't come cancels with the link in their email. To switch trips, they sign up for the new trip first, then cancel the old one.
• It doesn't tell you when someone signs up, and it can't message chaperones for you. To send trip-day details, download the list and email the group yourself.
• Reminders go by email only, not by text message.
