Parent-teacher conference sign-up, one family per slot

Make a parent-teacher conference sign-up where each family picks a time, and no two families get the same one. Families see which times are still open, but not which families took the others. It's free, with no ads, and families don't need an account or an app.

How to set up conference times
Make one slot for each conference time, with one spot, a date and a time. Group the slots by date, publish, and send families the link. Each family picks an open time and gets a confirmation email, then a reminder the day before.
To build the example above:
- Choose New signup. If you see “What are you organizing?”, choose Skip, fill in by hand.
- Type “Room 12 fall conferences” as the title. In the description, say how long each conference is and ask families to write their child's name in the note. Then choose Create signup.
- Choose Fields, then What, then Remove field. That leaves the Date field.
- Choose Add field, name the field Time and pick the Time type. Choose Add field again to save it, then set Group slots by to Date.
- Close the list and open the empty slot. Set Date to Wednesday, November 18, 2026 and Time to 3:00 PM. Leave Capacity at 1 and choose Done.
- Open the slot again and choose Duplicate. Then open the copy and change its Time to 3:20 PM. Keep duplicating the newest copy for the rest of the times, skipping your breaks. For Thursday, change the date as well.
- Choose Publish. On a phone, choose More actions (the three dots at the top), then Publish signup. Copy the Public link and send it to families.
The guide to creating and publishing a signup shows each screen. Duplicating 14 slots takes a while on a phone. If you use Claude, the OpenSignup connector for Claude can build all 14 at once, as a draft for you to check. Ask it for:

How long should each conference be?
KidsHealth describes parent-teacher conferences as brief meetings of about 10 to 30 minutes. (Nemours KidsHealth, checked September 26, 2026) Within that, choose 15 or 20. Fifteen minutes covers a short update and one goal for the term. Twenty leaves time for questions, and for a family who arrives late without pushing everyone else back.
Count before you build, because you need one slot per family. A class of 24 at 20 minutes is 8 hours of meetings before any breaks. That's two long afternoons of 12 conferences, or three shorter ones of 8.
- Leave one 20-minute gap near the middle of each afternoon, as the example does. Conferences run over, and the gap lets you catch up. Don't make a slot for the break; leave that time out.
- Make two or three more slots than you have families, so the last families to book still have a choice.
- Run one afternoon into the evening, for families who work days. In the example, Thursday's last conference starts at 6:20 PM.
What to write, and when to send the link
The confirmation and reminder emails show your title and the family's date and time. Put the room in the title, so it reaches families in both emails.
In the description, write:
- How long each conference is. The sign-up shows only start times.
- Which door to use, if the school locks some after hours.
- “Please write your child's name in the note.” Families sign up under a parent's name, which may not be the child's.
- Your video-call link, if some conferences happen online. OpenSignup doesn't make one for each slot.
- What to do if no time works, like “Email me and we'll find another.”
Send the link about two weeks before the first conference, so families can arrange work and childcare. A week later, choose Export at the top of your signup to download a CSV file. On a phone, it's under More actions. The notes with each child's name are in that file, not on the Responses screen. Check them against your class list, and send the link again to the families who haven't booked.
If a few families still miss out, add some slots on another day and send the same link to just them. The new times appear on the same page, so there's no second sign-up to manage.
What happens after a family signs up
- They get an email with the date and time, and a link to change or cancel. There's no password.
- They get a reminder email the day before their conference. Someone who signs up less than a day ahead gets one about an hour after signing up, though a sign-up on the day itself may get none. Each reminder has a link to stop them.
- Your Responses screen lists each family's name, email and time. The CSV file adds their notes.
What it doesn't do
- It can't require the child's name. The note is optional, so a few families will leave it blank.
- Families can't switch times in one step. They book the new time first, then cancel the old one from their confirmation email. If they cancel first, another family could take the time they wanted.
- Nothing stops one family booking two times, and you can't cancel a booking for them. Ask them to cancel the one they don't need.
- Times that have passed stay open. On Thursday, families can still book Wednesday's empty times. Closing the signup would stop Thursday's bookings too, so delete Wednesday's empty slots instead: open each one and choose Delete. After the last conference, choose Close signup.
- After booking, families see Add to calendar, but it can put a timed slot at the wrong hour. The calendar file reads your times as UTC, so 3:00 PM shows as 10:00 AM in New York. Ask families to type the time into their own calendar.
- You can't message families through OpenSignup. If plans change, email them from your own account.
- Reminders are email only, not text messages, and you can't choose when they go out.
Frequently asked questions
Can families see who booked the other times?
No. A booked time shows as Full, with no name next to it. Only you see which family took each time.
Do families need an account or an app?
No. They open your link, choose a time and type their name and email address. Their confirmation and reminder arrive by email.
What about a family with no email address?
Agree a time with them by phone or a note home, and keep a paper note of it. Then delete that slot, so no other family books it. Don't book it under your own email address: one email counts as one person on a signup.
Can I run conferences for several teachers on one sign-up?
Yes. Add a Teacher field as Short text, type the teacher's name on each slot, and group slots by Teacher instead of Date. One person manages it, though, because a signup has no co-organizers.
Can I reuse it for spring conferences?
Not as a copy: OpenSignup can't copy a whole signup. Make a new one for spring, and close the fall one after its last conference.
Is it really free?
Yes. There are no ads and no paid plan. OpenSignup is open source, so a school or district can also run its own copy.
