Classroom volunteer sign-up for parent helpers

Make a classroom volunteer sign-up where parents pick a weekly job, like reading with a small group on Wednesday, from one link. Each slot takes only the helpers you want, and parents who work in the day can take a job to do at home. It's free, there are no ads, and parents don't need an account.
What a weekly parent volunteer sheet looks like
Grade 2 classroom helpers
Reading helper runs 9:00 to 9:45: you listen to small groups read aloud. Math stations run 10:15 to 11:00: you run one table of math games. Prep at home means cutting and sorting materials. Pick up the bag from the office on Friday and bring it back on Monday. Sign in at the front office and wear a visitor badge. Put your child’s name in the note.

How to set up a classroom volunteer sign-up
- Choose New signup. If you see “What are you organizing?”, choose Skip, fill in by hand.
- Type “Grade 2 classroom helpers” in Title. In Description (optional), say what each job involves and when it ends. Then choose Create signup.
- Choose Fields, then Add field. Name it Starts, pick Time, and choose Add field again to save it. Set Group slots by to Date.
- Open the empty slot. Type Reading helper in What, set Date to Wednesday, October 21, 2026 and Starts to 9:00 AM. Type 2 in Capacity and choose Done.
- Choose Add a slot and fill in Math stations on Thursday, October 22, 2026 at 10:15 AM, with 2 spots. Add Prep at home on Friday, October 23, 2026 the same way, with 1 spot and Starts left empty.
- For the next week, open each of the latest week's slots in date order and choose Duplicate. Open each copy and move its Date on by seven days. Repeat until Friday, November 6, 2026.
- Choose Publish. On a phone, choose More actions, then Publish signup. Copy the Public link and send it to the class parents.
A copy is always added at the end of the list, and date groups show in the order of their slots. Duplicating in date order keeps the weeks in the right order. The guide to creating and publishing a signup shows each screen.
What should you check with the school first?
Ask the office before you send the link. Rules for classroom helpers differ from district to district, and some checks take weeks to clear. Find out:
- Whether helpers need a background check, and how long it usually takes.
- Whether there is a form or a short training to finish before the first visit.
- Where helpers sign in, and whether they wear a badge.
- Whether younger children can come along.
Put the answers in the description. If clearance takes a few weeks, start the first block late enough for parents to finish it.
How do you write a volunteer slot parents will take?
- Name the job, not the role. “Reading helper” and “Math stations” tell a parent what they'll do. “Classroom helper” doesn't. Keep the name short, because a phone cuts off a long one.
- Say when it ends. A slot shows a start time only. Put the end time in the description, so a parent knows whether they can get to work afterwards.
- Keep slots short. As a starting point, try 45 minutes and two helpers for each in-class job. Change it once you see how the first weeks go.
- Add a job for working parents. A prep at home slot, such as cutting out shapes or sorting reading folders, lets parents help in the evening. Give it a date but no time.
- Ask for the child's name in the note. People who sign up give a name and email, and the note is optional. You can't add other questions.
Can the slots repeat every week?
No. OpenSignup doesn't repeat slots, and it can't copy a whole signup. Each week is slots you add. The easiest way is a block of three or four weeks at a time:
- Send the link about two weeks before the first slot, once the school has said yes. Send it again when you add a block.
- Add the next block to the same signup, so parents keep one link all term. Duplicate the last week's slots and change the dates.
- Delete past weeks as you go. A slot whose date has passed can still be signed up for until you delete it or close the signup.
- If school is closed on a helper day, delete that slot and tell its helpers yourself. Deleting a slot removes its sign-ups, and nobody is emailed. Check Responses for their names first.

What happens after a parent signs up?
- They get an email naming the signup and the slot's job, date and start time, with a link to change or cancel.
- They get a reminder email the day before their slot. Someone who signs up less than a day ahead gets one about an hour after signing up, though a sign-up on the day itself may get none. Each reminder has a link to stop them.
- They can choose Add to calendar. An in-class slot goes in at the start time the page shows, as a one-hour event. A prep at home slot goes in as all-day.
What it doesn't do:
- No waitlist. When a slot is full, it stops taking sign-ups, and a parent picks another week.
- It doesn't tell you when someone signs up, and it can't email helpers for you. Choose Export to download the list, then write to them yourself.
- You can't add or move a parent yourself. To switch weeks, a parent signs up for the new slot first, then cancels the old one.
- No text messages, and you can't change when reminders go out. No tracking of background checks or forms.
Frequently asked questions
Can a parent sign up for every week at once?
They sign up for each slot on its own, so a parent who wants every Wednesday picks each Wednesday in turn. Each sign-up gets its own confirmation email and reminder.
Can parents see who else is helping?
No. They see how many spots in each slot are taken, but not whose names. You see everyone on the Responses screen.
Can I check background clearance or collect forms here?
No. It can’t take uploads or record who is cleared, so keep forms and clearance with the school office.
Where do I find the child’s name a parent put in the note?
In the download. Notes don’t show on the Responses screen; choose Export and each parent’s note is in the file.
Is OpenSignup free for teachers?
Yes. It is open source, so a school district can also run its own copy.
