Holiday class party sign-up sheet

Make a class party sign-up sheet where parents pick the food, drinks, supplies or craft they'll bring, or a spot as a party helper. Once an item is taken it shows as taken, so you don't get four bags of candy and no plates. It's free, there are no ads, and parents don't need an account.
What a class party sign-up sheet looks like
This one covers two parties for one class, on one link. Parents open it, choose an item under the party they want, and give their name and email.
Room 12 class parties
Both parties run 2 to 3pm in Room 12. The school allows store-bought food only, in its package with the ingredient label, and no nuts. Drop items at the front office by 9am on party day, marked Room 12. Helpers sign in at the office with photo ID.

How to make it
These steps build the Halloween half of the example. Every new signup already has a What field and a Date field, so the only field you add is Kind.
- From your OpenSignup account, tap New signup. On sites that show “What are you organizing?” first, pick “Skip, fill in by hand”.
- Type “Room 12 class parties” under Title. The description gets the party hours, the room, the food rule and where to drop things. Tap Create signup.
- Under Fields, tap Add field, call the new field Kind and make it a List. Tap Add field again to save it, then set Group slots by to Date.
- Tap the Set what slot. For What, type “Fruit tray”; for Date, pick Friday, October 30, 2026. In Kind, use Add to list to create Food. Option 1 stays in the list unused, and families won't see it.
- Duplicate that slot and edit the copy: the date carries over, so only What and Kind change. The first time you need Drinks, Supplies, Craft or Helper, add it to Kind with Add to list.
- Build Party helper after all the items, then raise its Capacity to 3. Items stay at a single spot.
- Tap Publish (phones: the three-dot menu, then Publish signup). Copy the Public link into the class email or group chat.
Helpers go last since every copy inherits its source's spot count. The help article on creating and publishing a signup has a picture of each screen.
What to ask the teacher before you start
Settle these first, so you don't rebuild the sheet later:
- The date and time. The teacher sets them, and the school may have to approve them. Check there's a party at all: some districts have stopped holiday parties and celebrate at other times of year instead. Iowa City's schools, for one, say they “will continue with the practice of no classroom parties”. (Iowa City schools wellness policy, checked September 28, 2026)
- The food rules. Ask whether homemade food is allowed, whether food needs an ingredient label, and whether food is allowed at all. Ask about allergies in the class too. Copy the school's rule into your description word for word. A typical written rule reads: “Only fresh fruits/vegetables or store-bought items with clear ingredient lists are permitted (homemade foods are not allowed).” (Iowa City schools wellness policy, checked September 28, 2026)
- What the room already has. If there are glue sticks, scissors and paper towels, leave them off the sheet.
- Visitor rules. Helpers may need a background check or an ID at the office. That's the school's process, and the sign-up sheet can't track it. Say how to start it in the description.
If the school allows no food, drop the Food and Drinks slots. Add Craft and Helper slots instead, or one for game prizes such as stickers and pencils.
How many party helpers does a class need?
Plan the party as stations, with one adult at each. For 24 children, try four stations of six: a craft, a game, a snack table and a story corner. The teacher runs one, so you need 3 helpers. That's why the example's Party helper slot has 3 spots.
Treat this as a starting point, not a rule. A craft with paint or hot glue may need a second adult, and some schools limit how many visitors a room can have. With groups moving every 10 to 15 minutes, four stations fill an hour.
What to put in the description
Parents read the description before they pick an item. Answer the questions they would otherwise text you:
- The time and room of each party.
- The food rule, as the school wrote it, and any allergy to avoid.
- Where and by when to drop items off, so food isn't left in a backpack.
- How helpers check in on the day.
Put the count in the item itself, as in “Juice boxes (24)”. Then parents buy the right number without asking you. Keep item names short, since a phone cuts off a long one. Rules such as “store-bought only” go in the description, not in every item.
When should you send the link?
About three weeks ahead. For the Halloween party on Friday, October 30, send it on Friday, October 9. That gives helpers time to finish any school check. On Friday, October 23, look at what's still open and post the link a second time with the gaps spelled out: “Still need plates and one more helper.” OpenSignup doesn't chase empty slots, so that second post comes from you.
How do you add the winter party to the same sheet?
Keep one link for the school year. When the teacher sets the winter party date, open each Halloween slot, choose Duplicate, and change the copy's Date to Friday, December 18. Change What where the item differs. The winter slots show under their own date, and parents use the link they already have.
After the Halloween party, its slots stay open until you delete them. Download the list with Export if you want a record, then delete them. Deleting a slot also removes its sign-ups, and nobody is emailed. Do the same for Valentine's Day and the end-of-year party.
OpenSignup can't copy a whole signup or repeat one, so a second class needs its own signup built the same way. For a class family night where everyone cooks, a potluck sign-up sheet with open slots such as “Any side dish” fits better.
What happens after parents sign up
- A confirmation email arrives listing the item, its date and its Kind. It carries a link the parent uses to change their spot or cancel.
- The party date can go straight into a phone calendar with Add to calendar. It lands as an all-day event, since these slots have no time.
- A reminder email comes the day before; for Halloween that's Thursday, October 29. Someone who signs up less than a day ahead gets one about an hour after signing up, though a sign-up on the day itself may get none. Any parent can turn reminders off from the email.
- Reminders start switched on. You can turn them off for the whole sheet.
Limits to know: no collecting money, no extra questions (only name, email and an optional note), no texts, and no printable version. Families see an item as taken but never whose it is. For trips later in the year, the field trip chaperone sign-up works the same way.
Frequently asked questions
Can parents see who is bringing what?
No. A taken item just reads as full to other families, which suits a class list. Only you get the names, on the Responses tab; parents' notes come in the file from Export.
Do parents need an account to sign up?
No. A parent taps Sign up beside an item and gives a name and an email address. Nothing to install, nothing to remember.
Can I collect money for the class fund or a teacher gift?
No. OpenSignup handles no money at all. Use whatever the PTA or school already uses for the fund, and keep this sheet for things and people.
Can I print it for open house or send it home in backpacks?
No, there's no paper version. A printed list can't mark an item as gone, which is the whole problem at open house. Add the link to the class newsletter instead.
Can I use the same sheet for Valentine's Day and the end-of-year party?
Yes. Add those slots with their dates when the teacher sets them. Parents keep the same link, and each party shows under its own date.
