Make a team snack schedule for the season
Updated · By the OpenSignup team
Make a team snack schedule where each family picks one game and gets a reminder email the day before it. You set up the season once, share one link in the team chat, and see who's bringing snacks to every game. It's free, has no ads, and families don't need an account or an app to sign up.
What a team snack schedule looks like
In OpenSignup, each game is one slot with its opponent, date and kickoff time, and one spot for one family. Here's a season set up that way, as parents see it.

Pick one game. Your family brings orange slices for halftime, plus a snack and water for after the game. Please keep everything nut-free.

How to set up your team snack schedule
Get the season's game dates and kickoff times from the league first. Then, on a phone or a computer:
- Sign in and choose New signup. If you see “What are you organizing?”, choose “Skip, fill in by hand”. Type “U10 soccer snack schedule” in Title, say what to bring in Description (optional), and choose Create signup.
- Choose Fields, then What. Change its name to Game, leave it as Short text, and choose Save.
- Choose Add field, name it Kickoff and choose Time. Then choose Add field again and close the box.
- Open the empty slot. Set its Date to October 10, 2026, type “vs Hawks” in Game and set Kickoff to 9:00 AM. Leave Capacity at 1 and choose Done.
- Open that slot, choose Duplicate, then open the copy. Change its Date, Game and Kickoff to the next game. Repeat until all eight games are in.
- Choose Publish. On a phone, choose the three dots at the top, then Publish signup.
- Copy the link with the copy button next to Public link, and post it in the team chat.
Put each game's date in the Date field, not in Game. Reminders are timed from the date field, so a game typed as “Sat 9am” gets no reminder. Add the games in date order too: the signup lists slots in the order you add them, not by date.
Most of these steps are in the guide to creating and publishing your first signup. If you'd rather not type eight games, you can describe the season to Claude and it builds the draft for you to check.
What makes a good team snack?
Something kids can eat standing up, with no knife, no plates and no fridge. Think orange slices at halftime, then a banana, a clementine or a small bag of crackers each after the game. Ask whoever brings snacks to pack a bag for the peels and wrappers.
Water is the easy drink. The American Academy of Pediatrics' site for parents says water is enough for activity under an hour. (HealthyChildren.org, checked September 26, 2026)
Ask at the first practice whether any player has a food allergy. Then put it in the description, like “Please keep everything nut-free.” Name the food, not the child: every family on the team sees that description.
One family per game, or two?
One family per game is the simplest. You can see whose turn it is, so post it in the team chat each week. Count families before you choose. Say you have 12 players and eight games. With one family per game, four families sit out this season, so ask them first next season. With two per game there are 16 turns, so four families bring snacks twice.
If you want two, don't give one slot 2 spots. People see how many spots are taken, but not who took them, so the two families can't tell who's bringing drinks. Make two slots per game instead. Add a Bring field (Short text) and set one slot to Snacks, the other to Drinks. Then, in Fields, set Group slots by to Date, so each game's two slots sit together.
What if a game is rained out?
Open that game's slot and change its Date to the makeup day. The family keeps its turn. Nobody is emailed about the change, so tell the family in the team chat. The slot keeps its place in the list, so drag it down if the makeup day is weeks later.
If a game is cancelled for good, open its slot and choose Delete. That also removes the family's sign-up, sends no email and can't be undone. Tell the family first, and point them to a game that's still open.
When should you send the link?
Send it once you have the full game schedule, and at least a week before the first game. That gives the first family time to shop. Pin the message in the team chat if your chat app lets you.
If nobody has taken the first game by midweek, ask a family directly or take it yourself. Halfway through the season, check which games are still open and post the link again. If away games need rides too, set up a carpool sign-up sheet and post both links together.
Signup pages are kept out of search engines, but anyone with the link can open yours. Share it in the team chat, not on a public page.
What happens after families sign up?
- Each family gets an email with its game's opponent, date and kickoff time. It has a link to change or cancel.
- They get a reminder email the day before the game. Someone who signs up less than a day ahead gets one about an hour after signing up, though a sign-up on the day itself may get none. Every reminder has a link to stop them.
- You see who signed up for each game under Responses. Choose Export to download the list as a CSV file.
After signing up, families also see an Add to calendar button. A signup has no time zone, so a game with a kickoff time can land in their calendar at the wrong hour. If you'd rather families use the calendar button, leave out Kickoff. A game with only a date goes in as an all-day event.
A few things it doesn't do:
- Reminders go by email only. There are no text messages.
- There's no repeating weekly schedule. Each game is its own slot, which is why duplicating one is the quick way to add the next.
- You can't sign a family up, move them or email them from your account. Send them the link, and use the team chat for news.
- Past games don't close by themselves, and anyone with the link can still take one. Choose Close signup after the last game.
Frequently asked questions
Do parents need an account to sign up?
No. They open the link, pick a game, and type their name and email. There is no password and no app.
Can parents see who is bringing snacks each week?
No. Other families see which games are taken, not who took them. You can see every name, so post each week’s family in the team chat.
Can two families swap games?
Yes, but there’s no swap button, and you can’t move sign-ups yourself. Each game has one spot, so the order matters. Say families A and B want to swap. First, B cancels its game from the link in its confirmation email. A signs up for that game straight away, then cancels its own. Last, B signs up for A’s old game. A free game is open to anyone with the link, so agree a time in the team chat and do it all at once.
Can I reuse the schedule next season?
Not as a copy. Each season is a new signup: add the first game, then duplicate it for the rest. You can also give Claude the new game list and it builds the draft.
Is OpenSignup free?
Yes. It has no ads and no paid plan. OpenSignup is open source, so anyone can also run their own copy.
