End-of-season team party sign-up sheet
Updated · By the OpenSignup team
Make a team party sign-up sheet where families pick a job for the end-of-season party: food, drinks, the trophies, the coaches' card or clean-up. A job shows as taken once someone has it, so you get pizza and plates, not six bags of chips. It's free, has no ads, and families don't need an account.
What a team party sign-up sheet looks like
A party after the last game has more jobs than a potluck. Someone fetches the trophies, someone gets the card signed, and someone books the place. Here each job is a slot, grouped by the kind of job, as families see it.
U10 soccer end-of-season party
Saturday after the last game, 11am to 1pm, at the park pavilion. Siblings welcome. Please keep all food nut-free, and say in your note if your dish has eggs, dairy or gluten.

How to set up the party sheet
Every new signup already has a What field and a Date field. You add one more, Job, and every slot gets the party date so reminders go out.
- Sign in and choose New signup. If you see “What are you organizing?”, choose “Skip, fill in by hand”. Type “U10 soccer end-of-season party” in Title, add the time, place and food rule in Description (optional), and choose Create signup.
- Choose Fields, then Add field. Name it Job and choose List. Choose Add field again to save it, set Group slots by to Job, and close the box with the X (Close).
- Open the Set what slot. Type “Pizza, 4 large” in What and pick Saturday, November 14, 2026 for Date. In Job, use Add to list to add Food and pick it; leave Option 1 unused, since families never see it. Set Capacity to 2 and choose Done.
- Open that slot and choose Duplicate, then open the copy. The date carries over, so change only What, Job and Capacity. Add Drinks, Awards, Coaches' gift and Setup and clean-up with Add to list the first time you need each.
- Finish the food before you start the drinks, and so on. Groups show in the order you start them. To move a slot, drag it.
- Choose Publish. On a phone, choose the three dots at the top, then Publish signup.
- Copy the link with the copy button next to Public link and post it in the team chat.
The help guide to creating and publishing a signup shows each of these screens.
What should families bring to a team party?
Decide the main dish first. If the team has a fund, the host orders the pizza and you drop the Pizza slot. If not, split it: two families bring four large each. Everyone else picks from fruit, vegetables, dessert and drinks.
Kids eat standing up and on the move, so ask for food that needs no knife and no fridge: pizza slices, grapes, baby carrots, cookies, juice boxes. An open slot such as “Any dessert” with three spots saves you listing every cookie. For a sit-down dinner where every family cooks, a potluck sign-up sheet fits better.
Ask about allergies at practice, then name the food to avoid in the description, not the child. The example says “nut-free” and asks families to note eggs, dairy or gluten. Only you read those notes, so ask families to label the dish on the table too.
Trophies, the coaches' gift and the venue
Trophies or medals. Order them before the last few games, one for every player, with names spelled the way the families spell them. Engraving takes time. The Pick up trophies slot is the person who collects them and brings them on the day.
The coaches' gift. A card every player signs costs almost nothing. The Coaches' card slot buys it and brings it, with pens, to the party. A group gift needs money, and OpenSignup takes no payments. The Gift collection slot is one parent who collects by cash or the team's usual app.
The venue. A park pavilion is a common choice, but the rules differ from city to city, so check yours before you set the date. One St. Louis park's 2026 pavilion season runs from March 14 to November 3. (Tower Grove Park, checked October 22, 2026) A later party can't book one there. A November party may need an indoor plan, like a pizza place or the school gym.
When should you send the link?
Book the venue and order the awards with a few games left. Send the link once the party date and place are fixed, and post it in the team chat after a game, when parents are thinking about the team. A week before Saturday, November 14, look at what's still open. Then post the link again with the gaps named: “Still need a veggie tray and two people to clean up.”
If you ran the team snack schedule this season, families already know how the link works.
What happens after families sign up?
- Each family gets an email naming the party and listing its slot's What, Date and Job, with a link to change or cancel.
- A reminder email comes the day before, so for this party on Friday, November 13. Someone who signs up less than a day ahead gets one about an hour after signing up, though a sign-up on the day itself may get none. Every reminder has a link to stop them.
- After signing up, families can choose Add to calendar. The slots have a date but no time, so the party goes in as an all-day event. Put the start time in the description.
- You see who took each job on the Responses tab, and Export downloads the list with everyone's notes.
A few things it doesn't do:
- No questions beyond name, email and a note.
- No text reminders, no printable sheet, and no emailing families from your account.
If the club also needs people for the snack bar at games, the concession stand volunteer sign-up is built the same way, with shifts.
Frequently asked questions
Can families see who is bringing what?
No. They see which slots are full and how many spots are left, not names or notes. You see every name on the Responses tab, and the notes in the file from Export.
How do I get a headcount for the party?
Ask everyone who signs up to put how many of their family are coming in the note. Families who don’t take a job won’t be counted, so ask in the team chat too. There’s no separate RSVP.
Do families need an account to sign up?
No. They open the link, pick a slot and type their name and email. There’s no password and no app.
Can I reuse the sheet for the spring season?
Not as a copy. OpenSignup can’t copy or repeat a signup, so build a new one for spring the same way. With Duplicate it takes a few minutes.
