Church volunteer sign-up for Sunday serving roles
Updated · By the OpenSignup team
Make a church volunteer sign-up where people pick their own Sundays for greeting, coffee and the nursery. Each role takes only the number of people it needs, so you can see which Sundays still have gaps. No ads, no cost, and volunteers sign up without an account or an app.
What a month of Sunday roles looks like
Sunday serving team, November
Coffee and set-up runs 9:00 to 10:00: make the coffee and put out chairs in the hall. Greeters stand at the main door from 9:30 until the service starts at 10:00. Nursery runs 9:45 to 11:15 in Room 4, with two adults in the room at all times. Nursery helpers need a cleared background check, so if you haven’t been cleared, please pick another role. When you arrive, ask for the welcome desk lead.

How to set up a church volunteer schedule
- Start with New signup. If you see “What are you organizing?”, pick Skip, fill in by hand.
- In Title, enter “Sunday serving team, November”. Use Description (optional) for when each role ends, where to go and the nursery rule, then pick Create signup.
- Under Fields, pick Add field, call it Starts and make it a Time field, then pick Add field again to save it. Pick Date under Group slots by.
- Fill in the first slot: Coffee and set-up for What, Sunday, November 1, 2026 for Date, 9:00 AM for Starts and 1 for Capacity. Finish with Done.
- Use Add a slot twice more: Main door greeters at 9:30 AM and Nursery, ages 0–3 at 9:45 AM, with two spots each.
- Build the next Sunday from the last one: Duplicate its three slots in order, then set each copy's date a week later. Keep going until Sunday, November 22, 2026.
- Pick Publish (More actions and Publish signup on a phone), and share the Public link.
A copy lands at the bottom, and on the signup page each date group sits where its first slot is. Copying one Sunday at a time keeps the month in calendar order. Every screen is pictured in the help guide to building and publishing a signup.
How do you write Sunday roles people will take?
- One slot per role per Sunday. Set its spots to the number of people the role needs. A full role closes to new names, so a volunteer can see at a glance which Sundays are short.
- Name the job and give a start time. “Main door greeters” tells someone where to stand. The slot shows only its start time.
- Put the practical details in the description. Where to arrive, who to ask for and how long each role lasts. One description covers every Sunday.
- Let people choose, and keep an eye on the gaps. OpenSignup doesn't build a rota or assign anyone. If one person takes every greeter slot, or the nursery stays empty, ask people yourself.
How should a church nursery schedule handle safety?
Follow your church's own child-safety policy, which can differ by denomination. As one example of what such policies ask, a church insurer advises at least two adults in the nursery, however few children there are. It also advises a criminal background check for every nursery worker (Brotherhood Mutual, checked October 12, 2026).
- Give each nursery slot two spots, so the room isn't covered until both are taken. An empty nursery slot, like the last Sunday in the example, is the one to chase first.
- The signup doesn't track background checks. Say in the description that only cleared helpers should sign up for the nursery, and check the names on Responses against your list.
- If someone who isn't cleared signs up for the nursery, take them off: on Responses, choose Remove on their row, then Yes, remove. They aren't emailed about it, so tell them first.
When should you send the link, and what about next month?
- Plan a month at a time. Put the link in the bulletin, the church email and the serving team's group chat a couple of weeks before the first Sunday.
- Add next month's Sundays to this signup rather than starting a new one, so the link people saved keeps working. Copy the last Sunday forward a week at a time, then post the link again.
- Clear out Sundays that are over. Past slots don't close by themselves: people can still pick them until you delete them or close the whole signup.
- If a service is cancelled, note who was serving from Responses first. Deleting a slot drops everyone in it without any email to them.
Running a church supper as well? Use a potluck sign-up sheet for the dishes, or a food drive volunteer sign-up for a collection.
What happens after a volunteer signs up?
- A confirmation email names the signup, lists the role, date and start time, and carries their own link to change or cancel.
- A reminder email follows the day before their Sunday. Someone who signs up less than a day ahead gets one about an hour after signing up, though a sign-up on the day itself may get none. Reminders can be turned off from a link inside them.
- Add to calendar puts the role on their calendar at its start time. It is always a one-hour entry, even for a role that runs longer.
- If they can't make their Sunday, they cancel through the link and the slot shows a gap again. To move to another Sunday, they sign up for the new one first, then cancel the old one.
What it doesn't do:
- It isn't church management software. No rotas, no blackout dates and no repeating schedules.
- No waitlist. Once a role is full, a volunteer has to pick another Sunday.
- You aren't alerted to new sign-ups, and there's no way to message volunteers from here. Export gives you the list as a file to email from your own account.
- No text messages, and no questions beyond name, email and an optional note.
Frequently asked questions
Do volunteers need an account or an app?
No. They open the link, pick a Sunday and give their name and email. There is no password and nothing to install.
Can volunteers see who else is serving that Sunday?
No. Each role shows how many spots are left, not who took them. Only you see the names, under Responses.
Can the schedule repeat every Sunday?
No. Each Sunday’s roles are slots you add, usually by duplicating the last Sunday and changing the date. Whole signups can’t be copied or set to repeat.
Can a couple take both nursery spots?
Yes. One person can take both spots in a slot when they sign up, but only their name goes on Responses. If you want both names, have each adult take one spot with their own email, on their own phone.
Does it send text message reminders?
No. Reminders are emails only, sent the day before a slot, at a time you can’t adjust.
Is OpenSignup free for churches?
Yes, with no ads and no paid tier. The code is open source too, so a church or denomination could host the software itself.
